Service Agreement

 

Our service agreement outlines the terms and comprehensive range of services Winterwolf Press provides, including book cover design, interior design, editing, ghostwriting, course creation, and other valuable support for authors and creators. It is a foundation for a successful and collaborative partnership between us and our clients.

This Service Agreement is between Winterwolf Enerprises LLC DBA Winterwwolf Press (herein referred to as “Winterewolf Press”, “Winterwolf Enerprises LLC”, “us”, “or “we”) and you (herein referred to as “you”, “client”, or “author”).

Our Services are offered to you conditioned on your acceptance without modification of this Service Agreement and our terms, conditions, and notices contained herein (the “terms”).

By purchasing any of Winterwolf Press’ services, you acknowledge and agree to be bound by the terms and conditions set forth in our Service Agreement. Please read the Service Agreement carefully, as it contains important information regarding your rights, responsibilities, and the terms of our service offerings. If you do not agree with any part of the Service Agreement, we kindly ask that you refrain from using our services. Your continued use of our services signifies your acceptance of these terms and your commitment to abide by them.

 

PRELIMINARY ESSENTIALS

Please Be Aware: Service Purchase Does NOT Guarantee Publication

While you may choose to purchase our services to assist you with your book(s), it’s important to note that it does not guarantee publication by Winterwolf Press or Shadow Wolf Press. To be considered for publication, you must follow our submission guidelines and procedures, which can be found on our Submissions page. We welcome talented writers and value the collaborative process, so if we find that we enjoy working with you as we help to develop your projects, there is a possibility that we may extend an invitation to publish your work under Winterwolf Press or Shadow Wolf Press. Your dedication to your craft and our mutual enjoyment of the creative journey are key factors in this consideration.

Our Licenses

To design your cover and format your books, we purchase a license for royalty-free stock and fonts specifically used for your cover design. You may not use these images in any other way apart from incorporating them into your book cover design.

 

Discount Codes and Coupons

Any discount codes used when placing an order will only apply to the items ordered at that time. Any additional items ordered later will not be eligible for the discount.

 

Your Usage Rights

You will be granted the exclusive license to use the final cover design artwork, interior files, ghostwritten materials, and edited materials for your project, ebook, print cover, interior files, and any associated marketing materials upon completion. You may not alter the cover design unless those alterations have been approved in writing by winterwolfpack.com or unless winterwolfpack.com has supplied them.

You are not granted any rights to use any earlier drafts or concepts. You may ask winterwolfpack.com to purchase the rights if you want to use them.

Once you approve a design, you agree you are satisfied with it, even if it contains errors, inconsistencies, or defects. winterwolfpack.com is not liable for any penalties, errors, or losses that may arise from the use of any materials created for you by us. Any requested changes made to any design (such as cover or interior design) or written materials (such as a ghostwritten project, course creations, or book editing) after approval will be subject to separate fees, depending on the nature of the changes.

 

Refunds and Cancellations

Due to our commitment to providing the best services possible, we must pay our team members up front to ensure they are available for your project.

Therefore, we DO NOT offer refunds, except if we cannot complete a service for you. If this is the case, we will issue refunds on a case-by-case basis.

At Winterwolf Press, we are committed to delivering your projects on time. To achieve this, we kindly ask our clients to provide the necessary materials by the designated deadlines. Your promptness ensures your project stays on schedule and helps us meet your expectations. Thank you for helping us keep things running smoothly!

Client Approval and Responsibility

In our commitment to delivering quality services, we involve our clients in the approval process. We’ll present work for your review and approval at various stages of the project. It’s essential that you thoroughly inspect and approve each deliverable, as this signifies your satisfaction and acceptance of the work.

After your approval and acceptance, the responsibility for any errors or desired changes rests with you. While we strive for excellence, human errors can occur, and it becomes your responsibility to ensure the final product aligns with your expectations.

Please be aware that once you provide approval, additional changes or revisions may incur additional fees. Your thorough review and approval are key to ensuring the project’s success and alignment with your vision.

 

What changes are considered reasonable?

Reasonable changes that we can make once the initial concept is approved include tweaking individual elements of the cover, changing colors, resizing, moving elements, changing text placement and/or fonts, and using existing stock imagery.

 

 

GRAPHIC DESIGN SERVICES

Ebook Cover Design Service

With our ebook cover design service, you will receive a complete ebook cover design as a high-resolution jpeg file.

 

Paperback Cover Design Service

For our paperback cover design service, you will receive:

  1. A complete paperback cover design as a high-resolution print-ready PDF file formatted according to your printing company’s template.
  2. An Ebook Cover is automatically included in this service.

*Please note: Our price covers the final print-ready file for one service provider only. Any additional files for additional printers will be charged separately.

 

BOOK COVER PRODUCTION PROCESS

Phase 1: Ebook Cover

We provide one initial draft or concept for your ebook cover.

You may request changes to the draft or concept, and we will make those changes within a reasonable time frame, usually within 3 or 4 business days, depending on the nature of the changes and our workload.

If you are unsatisfied with your concept, we will design a new option, and the change process will continue.

Once you agree to move forward, we will make as many changes as necessary to that cover within reason. If we cannot make the changes you request, or if the final design is not satisfactory, we may, at our discretion, cancel the project and refund all fees you have paid.

 

Phase 2: Paperbook Cover

Once the ebook cover cover is approved, we will proceed with the paperback cover design. This will include minor changes to the approved ebook cover and the spine and back cover design.

Before we begin the layout of the print cover, we will need the following information:

  • Final trim size
  • Final page count
  • All the text and other information you want on the back cover
  • The printing service you are using (usually Kindle Direct Printing, Ingram Spark, or Lightning Source)
  • The paper color you are using
  • If you are printing with Ingram Spark or Lightning Source, we will require your ISBN.
  • If you are printing with anyone other than KDP, Ingram Spark or Lightning Source, we will require you to provide us with a template from your printer.

If any of the details change after we have started the layout of the print cover, additional costs will apply.

We will provide one print cover draft based on the information provided and make reasonable changes until you are satisfied.

 

Phase 2: Hardback Cover

Once the paperback cover cover is approved, we will proceed with the hardback cover design. Since hardback books require different elements, we will let you know what you need to provide us with according to your printer’s specifications.

 

Your Responsibility

Once the print cover is approved, we will send you the final high-resolution print-ready file as a CMYK PDF.

You will be responsible for distributing this print-ready file to your printer.

You will be responsible for obtaining a printed proof of your final print cover.

Winterwolfpack.com is not liable for any errors or losses that may arise from printing your cover.

 

Artwork Display and Exposure Clause

Winterwolf Press reserves the right to display any artwork, including book covers, chapter art, or other creative designs (herein referred to as“artwork”), produced for the author, on our official website and in our promotional materials. By entering into this agreement, the author grants Winterwolf Press permission to showcase the artwork created for their project for promotional and portfolio purposes. This display may include, but is not limited to, online galleries, social media posts, marketing materials, and any other platform deemed suitable for promotional use. Winterwolf Press will make reasonable efforts to ensure that the displayed artwork is presented in a professional and respectful manner.

The author acknowledges that such display can provide additional exposure for their book and work. Winterwolf Press may or may not choose to include links or references to the author’s book alongside the displayed artwork, potentially increasing visibility and interest in the author’s work. If the author has any concerns or objections regarding the display of the artwork associated with their book or project, they are encouraged to discuss these concerns with Winterwolf Press to reach a mutually agreeable solution.

 

 

 

BOOK FORMATTING

For our Book Formatting Services (a.k.a. interior design), you will receive a concept or draft of your book as an eBook and/or PDF. You will be given the opportunity at this time to request changes, and we will provide changes within reason. Please note that due to distributor guidelines, licensing, and readability, we only use specific fonts and may not be able to use fonts outside of our library.

 

PRINT BOOKS

Print files are given to you as a PDF.

 

EBOOKS

We offer two distinct layout options tailored to different types of eBooks.

  1. Reflowable layout is ideal for content-heavy books like novels and both fiction and non-fiction texts.
  2. On the other hand, fixed layout is best suited for eBooks rich in visuals, including images, charts, and graphs. This format is particularly well-suited for illustrated children’s books, cookbooks, graphic novels, and similar visually engaging works.

We provide a Generic EPub file that works well with most distributors.

For additional fees, we may also offer the following formats:

  1. Kindle (mobi)
  2. Apple Books (ePub)
  3. Google Play (ePub)

 

Once your Interior Design draft or concept is approved, we will format your manuscript accordingly.

 

Delivery

We will deliver your final ebooks in the standard ebook and Print file formats.

Each service has its own process and involves varying levels of commitment from both you and our staff.
